Job Summary:
For 100 years, The Walt Disney Studios has been the foundation on which The Walt Disney Company was built. Today it brings quality movies, episodic storytelling, and stage plays to consumers throughout the world. The Walt Disney Studios encompasses a collection of respected film studios, including Disney, Walt Disney Animation Studios, Pixar Animation Studios, Lucasfilm, Marvel Studios, Searchlight Pictures, and 20th Century Studios. It is also home to Disney Theatrical Group, producer of world-class stage shows, as well as Disney Music Group.
The Executive Assistant position provides executive support to the Chief Brand Officer and President, Studio & Disney+ Marketing. This position is enterprise-wide and requires an understanding of all facets of the company to drive effective results and establish and maintain relationships within TWDC as Marketing function. The ideal candidate must be able to tactfully manage Chief Brand Officer/President’s time where needed, prioritize and communicate with authority. Candidate will have excellent knowledge of the Studio landscape.
This office has two Executive Assistants that split the duties of the CBO/President’s office. Responsibilities include, but are not limited to the following:
Job Responsibilities
- Manages and prepares documents including meeting agendas and presentation materials
- Partners and works extensively with internal departments and external vendors to provide and/or receive necessary information, materials, approvals, updates, etc.
- Updates monthly release calendar, coordinates events, and monitors conference room
- Liaise with executives, talent, and other assistants internally and externally
- Represent the department in a professional manner
- Review, edit, and enhance presentations and decks for clarity, coherence, and visual appeal
- Exercise discretion in all interactions
- Support departmental projects as needed
- Handles memberships and subscriptions for CBO/President; orders office supplies, snacks and beverages; and processes other electronic transactions
- Ensure office has all supplies and snacks, posters all replaced in a timely manner. This entails coordinating with building services, studio maintenance, the print room, and a/v
- Maintains files, coordinates pickup and delivery of materials as requested including scheduling courier and overnight services
- Maintains standards of strict confidentiality with respect to all matters and documents
- Creates a professional and positive environment for all who interact with the Office of the CBO/President.
- Promotes teamwork both internally and externally, works exceptionally well with executives, staff, and external associates, visitors at all levels. Ability to tactfully manage CBO/President’s time, multi-task and communicates with authority.
- Open to research projects
- Is accessible 24/7 via telephone and e-mail to handle urgent requests
- Assists with departmental tasks, including conference room requests
- Drafts correspondence and manages incoming/outgoing mail
- Coordinates VIP tickets and passes for guests, clients and key contacts
- Other miscellaneous duties and department projects assigned, including personal tasks and errands
- Support, collaborate and serve as back-up to the first executive assistant in all aspects of management and organization of the office of the CBO/President (will manage schedule, calendar and meetings at any given time)
- Must be in office 5 days a week, including Fridays
Education/Experience Required:
- Bachelor’s Degree or equivalent experience
- 2+ years of administrative and/or marketing experience within entertainment industry, preferably within The Walt Disney Company.
- Excellent computer proficiency – Mac & Windows: Microsoft Word, Excel, PowerPoint
- Excellent and professional phone skills
- Demonstrated ability to prioritize, meet deadlines, make decisions and change course of action quickly
- Detail oriented with the ability to maintain professionalism under pressure
- Ability to anticipate needs, be proactive, resourceful and flexible
- Ability to simultaneously handle individual tasks while maintaining perspective on the bigger picture
- Strong people skills, including the ability to work effectively with other executives, film makers, assistants and staff at all levels
- Exceptional organizational and follow-thru skills with the ability to work on many projects simultaneously.
- Effective communicator, both verbally and written
- Professional demeanor to serve as a point of contact for Office of the President
- Team player with positive/easy-going manner to handle varied personalities, responsibilities and assignments
- Ability to operate on a shared desk and form a strong partnership with the other Assistant
- Ability to be flexible with work schedule and work overtime as needed.
- Knowledge of past and current Disney/Pixar films
- SAP experience preferred
The hiring range for this position in Burbank, CA is $80,500 to $107,900 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
